Few Mac problems are as instantly recognisable—or as frustrating—as the spinning rainbow beachball.

You click an application, open a document or try to switch between windows, and the normal pointer is replaced by a multicoloured spinning wheel. Sometimes it disappears after a few seconds. On other occasions, the affected application becomes completely unresponsive and prevents the employee from continuing their work.

The beachball does not identify one specific fault. Apple describes the spinning wait cursor as an indication that items are loading or that a delay of more than a few seconds has occurred. A persistent rainbow cursor often means that an application has stopped responding, although the underlying cause could involve software, memory, storage, background processes, peripherals or hardware. 

Here are eight genuine reasons the beachball appears and the practical steps businesses can take to resolve it.

What Should You Do When the Beachball First Appears?

A brief beachball is not necessarily a serious problem. The application may be opening a large document, processing information, saving changes or waiting for another task to finish.

Give the application a moment before repeatedly clicking. Sending additional commands to an already busy application may simply add more work to its queue.

Check whether:

  • The pointer moves when you leave the application window.
  • Other applications remain responsive.
  • The beachball appears only when opening one particular file.
  • The problem disappears after the task finishes.
  • The whole Mac becomes slow rather than one application.

This distinction matters. If only one application is affected, the problem is likely to be associated with that application, its file or one of its extensions. If every application becomes unresponsive, investigate system resources, storage and hardware.

When an application will not recover, Apple recommends attempting to quit it normally before using Force Quit, because forcing it to close can cause unsaved changes to be lost. 

1. An Application Has Temporarily Stopped Responding

The most common cause is a single application becoming stuck while completing a task.

This may occur when the application is:

  • Opening a large spreadsheet or presentation.
  • Processing a complex image or video.
  • Loading a damaged document.
  • Saving to a slow location.
  • Importing a large quantity of information.
  • Waiting for another application or service.
  • Attempting an operation that has entered a loop.

Apple recommends closing and reopening an application that stops responding. It also suggests testing another file, because the fault may be associated with the original document rather than the application itself. 

How to Fix It

First, try to close the application normally by pressing:

Command-Q

Closing the application normally gives it an opportunity to save information and complete its shutdown process.

If it remains unresponsive, press:

Option-Command-Escape

Select the affected application and choose Force Quit. Finder can also be relaunched from this window if it is the part of macOS that has stopped responding. Be aware that unsaved information may be lost when an application is forced to close. 

Reopen the application and try the task again. If the beachball appears only with one particular document, create a copy and test that copy, or attempt to open an earlier version.

A file that repeatedly causes the application to freeze may be corrupted, excessively large or dependent on unavailable linked content.

2. The Application or One of Its Plug-ins Is Incompatible

An application may continue to open after a macOS upgrade while no longer functioning correctly.

Older software, browser extensions, Microsoft Office add-ins, audio plug-ins, printer components and specialist business integrations can cause applications to freeze or repeatedly display the beachball.

Apple advises checking whether an application is compatible with the installed macOS version, installing available updates and removing third-party plug-ins or enhancements when freezing begins after an application or operating-system update. 

How to Fix It

Update both macOS and the affected application.

For applications installed through the Mac App Store, open the App Store and review the available updates. For software obtained directly from a supplier, use its approved update process or download the current installer from the developer.

Next, consider whether the problem began after installing:

  • A browser extension.
  • An Outlook or Office add-in.
  • An audio or video plug-in.
  • A menu-bar utility.
  • A remote-support application.
  • A VPN or security tool.
  • A printer or scanner utility.

Temporarily remove or disable only non-essential plug-ins, then test the application again.

Do not remove business security, backup, device-management or remote-support software without speaking to your IT provider. These tools may need to be updated or reconfigured rather than deleted.

Where the application is business-critical, check the supplier’s supported macOS versions before completing a major upgrade across every Mac.

3. A Process Is Using Too Much Processor Capacity

One runaway application can make the entire Mac feel unresponsive.

A process may become trapped in a loop, repeatedly index information or consume significant processor capacity while completing a demanding task. The user sees the beachball because the application cannot respond to new commands quickly enough.

Activity Monitor can display processor usage and identify applications marked Not Responding. Apple recommends using it when a Mac becomes sluggish or when an application or process needs to be located and closed. 

How to Check CPU Usage

  1. Open Applications.
  2. Open Utilities.
  3. Launch Activity Monitor.
  4. Select the CPU tab.
  5. Click the % CPU heading to sort the list.
  6. Look for an application using unusually high resources for an extended period.
  7. Check for processes marked Not Responding.

High processor use is not automatically a fault. Video rendering, software installation, antivirus scanning and data processing can legitimately require substantial resources.

The concern is a process that remains unusually high while performing no obvious useful work.

Select the suspected application and click the stop button. Choose Quit first where possible. Activity Monitor also offers Force Quit, but Apple warns that immediate termination may cause data loss or disrupt other applications that depend on that process. 

If an unfamiliar macOS process is using significant resources, do not terminate it randomly. Restart the Mac and see whether the behaviour returns. Persistent unexplained activity should be investigated by an experienced Mac technician.

4. The Mac Is Under Memory Pressure

A Mac needs sufficient memory to keep active applications and information readily available.

When several demanding applications, browser tabs, virtual machines or large documents are open simultaneously, the Mac may have difficulty managing the workload. Applications can then respond slowly or display the spinning beachball.

Activity Monitor’s Memory tab includes a Memory Pressure graph. Apple explains that this measurement considers factors including available memory, swap activity, wired memory and file-cached memory when assessing how efficiently the Mac is using its resources. 

How to Check Memory Pressure

Open Activity Monitor > Memory and review the graph at the bottom of the window.

  • Green generally means that memory is being used efficiently.
  • Yellow indicates increasing pressure.
  • Red suggests that the current workload is placing substantial pressure on the available memory.

Also examine which applications are using the most memory and whether swap usage remains unusually high.

How to Fix It

Quit applications you are not actively using. Remember that closing an application’s window does not necessarily quit the application; a dot under its Dock icon indicates that it remains open. Use Command-Q to close it fully. 

Reduce unnecessary browser tabs, especially web applications handling large documents, video or complex dashboards.

Restart applications that have gradually increased their memory consumption. If one application repeatedly creates high pressure, update it or contact the supplier.

Where ordinary work consistently produces yellow or red memory pressure, the Mac may no longer be suitable for that employee’s workload. This can be particularly relevant when a user has moved from basic office work into design, software development, data analysis or virtualisation.

5. The Startup Disk Is Running Out of Space

Available storage affects more than the number of files the Mac can hold.

macOS requires working space for temporary files, software updates, application caches and virtual memory. When the startup disk is nearly full, routine tasks can become significantly slower and applications may display the beachball more frequently.

Apple identifies insufficient free space on the startup disk as a potential cause of slow Mac performance and directs users to the Storage section of System Settings to review usage and recommendations. 

How to Check Storage

Open:

Apple menu > System Settings > General > Storage

Review the amount of available space and the categories consuming it.

Common sources of unnecessary storage use include:

  • Old files in Downloads.
  • Large email attachments.
  • Unused applications.
  • Previous installers.
  • Duplicate photographs or videos.
  • Old mobile-device backups.
  • Virtual machines.
  • Large creative-project caches.
  • Files stored both locally and in the cloud.

How to Fix It

Remove information that is no longer required, uninstall unused applications and move appropriate archived content to an approved business storage location.

Do not upload confidential business files into a personal cloud account simply to create space.

Empty the Bin after confirming that its contents are no longer needed, then restart the Mac.

Storage problems that quickly return may indicate an unsuitable device specification, an application generating excessive temporary information or a file-management process that needs to be redesigned.

6. Too Many Login and Background Items Are Running

Many applications configure themselves to open when the employee signs in or continue working in the background.

A few essential background services are normal. Problems arise when numerous applications simultaneously perform synchronisation, update checks, scanning, monitoring and menu-bar functions.

Login items can contribute to slow startup, increased memory use and regular beachballs, particularly on older or lower-specification Macs.

Apple allows users to review applications that open automatically and services permitted to work in the background through Login Items & Extensions. It also recommends removing login items temporarily when diagnosing startup-related problems. 

How to Fix It

Open:

System Settings > General > Login Items & Extensions

Review:

  • Open at Login
  • Allow in the Background
  • Application extensions and related services

Remove non-essential applications from Open at Login.

Examples might include consumer messaging applications, unused cloud-sync tools, unnecessary launchers and software that does not need to be available throughout the working day.

Do not disable:

  • Endpoint protection.
  • Backup agents.
  • Microsoft Intune or other management services.
  • Required VPN software.
  • Approved file synchronisation.
  • Business remote-support tools.

Where the cause is unclear, remove optional login items, restart the Mac and test it. Restore necessary items one at a time until the problematic software is identified.

7. A Peripheral, Network Location or External Resource Is Not Responding

An application can display the beachball while waiting for something outside the Mac.

Examples include:

  • An external hard drive that is slow or failing.
  • A disconnected network share.
  • An unreliable USB hub.
  • A printer that is no longer responding.
  • A damaged display adapter.
  • An unavailable cloud folder.
  • A problematic audio interface.
  • A document containing links to external files.

Apple advises disconnecting recently attached peripherals when an application begins freezing, because the device may be incompatible with the current macOS version. 

How to Fix It

Disconnect non-essential accessories and test the Mac again.

If the beachball disappears, reconnect each device individually until the problem returns.

For the affected device:

  • Check its cable and power supply.
  • Try another port.
  • Install approved firmware or software updates.
  • Confirm compatibility with the installed macOS version.
  • Replace unreliable adapters or hubs.
  • Test the device on another Mac where appropriate.

If the beachball appears while opening or saving to a network location, test the same application using a local file.

A local file that opens immediately while a network file hangs suggests that the application may be waiting for the server, internet connection or cloud synchronisation service rather than suffering an internal fault.

Do not continue using an external drive that repeatedly disconnects, makes unusual noises or causes applications to freeze. Protect its information and arrange an assessment.

8. The Storage Device or Another Hardware Component Is Failing

Persistent beachballs can indicate a deeper problem with the Mac.

Storage errors can cause unexpected behaviour because applications cannot read or write information reliably. Apple states that Disk Utility can identify and repair certain errors involving a storage device’s formatting and directory structure. Significant errors may even prevent a Mac from starting correctly. 

Hardware problems involving storage, memory, power or another component may also create repeated freezes.

Run Disk Utility First Aid

Before beginning, confirm that a current backup exists.

Open Disk Utility from Applications > Utilities, select the appropriate volume and run First Aid.

For a more complete startup-disk check, start the Mac in macOS Recovery and run First Aid from there. Apple recommends selecting View > Show All Devices, then checking each volume before moving upwards through the container and physical device. 

If Disk Utility reports errors it cannot repair, or the internal storage does not appear, stop using the Mac for important work and obtain professional assistance.

Run Apple Diagnostics

Apple Diagnostics can help determine whether a hardware component may be at fault. In macOS Tahoe 26 and later, Apple may offer specific diagnostic tests for components such as the built-in display, keyboard or trackpad. 

Before running diagnostics:

  1. Install available macOS updates.
  2. Shut down the Mac.
  3. Disconnect non-essential accessories.
  4. Connect the device to power.
  5. Place it on a hard, stable and well-ventilated surface.
  6. Follow Apple’s startup procedure for the Mac model.

Record any reference code that appears and provide it to the IT provider or repair technician.

Use Safe Mode to Separate Software From System Problems

Safe mode is useful when the beachball appears repeatedly but the responsible application or service is unclear.

Apple explains that safe mode helps identify problems caused by software that loads when the Mac starts. 

Apple Silicon Mac

  1. Shut down the Mac.
  2. Press and hold the power button.
  3. Release it when startup options appear.
  4. Select the startup disk.
  5. Hold Shift.
  6. Choose Continue in Safe Mode.
  7. Sign in and test the Mac.

Intel Mac

  1. Restart the Mac.
  2. Immediately press and hold Shift.
  3. Release it when the login window appears.
  4. Sign in and test the Mac.

If the problem disappears in safe mode, a login item, extension, third-party application or cached component is likely to be involved.

Restart normally to leave safe mode.

When Should You Force the Mac to Turn Off?

A forced shutdown should be a last resort.

If the application cannot be force-quit and the whole Mac remains unresponsive, Apple advises pressing and holding the power button for up to ten seconds until the Mac turns off. On a MacBook with Touch ID, the Touch ID button is also the power button. 

Only do this when the Mac is genuinely frozen.

Forcing the device off may cause unsaved information to be lost. It can also interrupt files that are being written, software installations or operating-system updates.

After restarting, reopen applications gradually and check Activity Monitor before returning immediately to the same workload.

What Not to Do

Do Not Install Random “Mac Cleaner” Software

Utilities promising to remove beachballs or instantly accelerate the Mac may request extensive permissions, delete useful information or add more background processes.

Use macOS’s built-in Activity Monitor, Storage, Safe Mode and Disk Utility tools first.

Do Not Force-Quit Unfamiliar System Processes

Some macOS processes support several applications. Terminating them can cause other services to stop working, and the process may immediately restart.

Do Not Delete Library Files Without Understanding Them

Removing preferences, caches or application-support folders based on generic online advice can delete settings or business data without fixing the underlying problem.

Do Not Ignore Repeated Freezes

An occasional brief wait cursor is normal. A beachball that appears every day, affects several applications or occurs during basic work requires investigation.

Do Not Erase the Mac as the First Fix

Erasing and reinstalling macOS is rarely the correct starting point. Confirm backups, diagnose software and test the hardware before considering destructive recovery.

A Quick Spinning Beachball Checklist

Work through these steps in order:

  1. Identify whether one application or the whole Mac is affected.
  2. Give a busy application a brief opportunity to recover.
  3. Quit and reopen the affected application.
  4. Force-quit it only if necessary.
  5. Restart the Mac.
  6. Update macOS and the application.
  7. Test another file.
  8. Review CPU and memory use in Activity Monitor.
  9. Check free storage.
  10. Reduce unnecessary login and background items.
  11. Disconnect non-essential peripherals.
  12. Test the Mac in safe mode.
  13. Run Disk Utility First Aid.
  14. Run Apple Diagnostics.
  15. Escalate repeated or system-wide freezes to professional support.
