Should You Repair, Reset or Replace This PC? A Cost Checklist for Businesses
A business PC starts running slowly. It crashes occasionally. The battery barely lasts until lunch. Windows has developed strange errors, and somebody has already spent two hours trying to fix it.
What should you do?
Repair it, reset Windows or replace the computer altogether?
There is now another option businesses should consider too:
repair-reinstall Windows without removing applications or data.
The cheapest option today is not necessarily the cheapest option over the next two years.
Spending £300 repairing an otherwise excellent workstation may make perfect sense. Spending the same amount repeatedly repairing an ageing £600 laptop probably does not.
The right decision comes down to age, specification, fault type, Windows support, repair cost, downtime and expected remaining life.
Here is a practical way to decide.
Start With the Real Problem
Before deciding anything, identify what is actually wrong.
“It's slow” is not a diagnosis.
A slow PC could have:
- too many startup applications
- insufficient RAM
- an almost-full SSD
- Windows corruption
- overheating
- a failing SSD
- background synchronisation
- malware
- an ageing processor
- a damaged Windows profile
Likewise, repeated crashes could be caused by software rather than failing hardware.
The first question should therefore be:
Is this a hardware problem, a Windows problem or simply poor configuration?
That determines which route makes sense.
Option 1: Repair the PC
Repair usually makes sense when the computer is otherwise suitable for the job and the fault is isolated.
Examples might include:
- failed SSD
- faulty battery
- damaged charging port
- cooling problem
- broken keyboard
- failed RAM
- software corruption
- driver problem
A three-year-old business laptop with a failing battery is not automatically ready for recycling.
Replace the battery.
Similarly, an otherwise powerful workstation with a failed SSD may have years of useful service remaining.
When Repair Makes Sense
Consider repairing when:
The PC is relatively modern.
It still has a useful expected lifespan.
Performance was good before the fault.
Fixing one component should return it to normal.
The hardware still meets your requirements.
The processor, memory and storage remain adequate for the employee's workload.
The repair cost is reasonable.
You are not spending a substantial proportion of replacement cost on an ageing machine.
The device can remain securely supported.
It can continue running a supported version of Windows and receiving appropriate firmware and driver updates.
When Repair Stops Making Sense
Repair becomes harder to justify when problems start stacking up.
For example:
Battery failing + damaged keyboard + overheating + poor performance + ageing hardware
Replacing one component does not solve the others.
This is where businesses can fall into the trap of spending:
£100 this month.
£150 three months later.
£200 six months after that.
At some point, you are effectively paying for a new PC without receiving one.
Option 2: Try a Windows Repair Reinstall
This is the step I would now add before Reset this PC.
Windows 11 includes:
Settings > System > Recovery > Fix problems using Windows Update > Reinstall now
Microsoft says this option:
- reinstalls the same version of Windows
- repairs system files and components
- preserves applications
- preserves personal files
- preserves settings
That makes it considerably less disruptive than resetting Windows.
When a Repair Reinstall Makes Sense
Suppose the hardware tests fine, but Windows is behaving badly.
You might be seeing:
- repeated Windows Update failures
- damaged Windows components
- unexplained system errors
- broken built-in Windows functionality
- problems that DISM and SFC have not resolved
Traditionally, the next major step might have been Reset this PC.
But resetting Windows can mean reinstalling and reconfiguring business applications afterwards.
A repair reinstall gives you an intermediate option:
Repair Windows without rebuilding the employee's entire working environment.
There Is an Important Business Limitation
Microsoft says Fix problems using Windows Update may not be available on managed devices.
That includes certain PCs managed through Windows update policies, Autopatch or deployment services.
So if the option is missing on a company computer, that does not necessarily indicate a problem.
Your organisation's device-management policies may deliberately prevent it.
Option 3: Reset the PC
If Windows itself remains unreliable after ordinary troubleshooting and repair options, resetting may be appropriate.
Open:
Settings > System > Recovery > Reset PC
Windows provides two main choices.
Keep My Files
Microsoft says Keep my files reinstalls Windows and preserves personal files while removing applications and settings.
This can be useful when Windows has accumulated serious software problems but the hardware remains perfectly serviceable.
However, “keep my files” does not mean:
Everything stays exactly as it was.
Applications still need reinstalling.
Settings need restoring.
Business software may need reconfiguration.
Printers may need reconnecting.
VPNs may need setting up.
Security and management software may need redeploying.
That all costs time.
Remove Everything
This reinstalls Windows while removing personal files, applications and settings.
It is a much more destructive option.
Before resetting any business computer, make sure important information is properly backed up or synchronised and that you have access to the device's BitLocker recovery key where applicable. Microsoft explicitly recommends both precautions.
Cloud Download or Local Reinstall?
Reset also offers:
Cloud download
or
Local reinstall
Cloud download obtains a fresh Windows image, while Local reinstall uses Windows files already present on the PC. Microsoft notes that Cloud download can be particularly useful when local installation files are damaged or missing.
If you are resetting because Windows itself appears badly corrupted, Cloud download can therefore be attractive.
Option 4: Replace the PC
Sometimes repair is technically possible but financially pointless.
Replacement becomes increasingly attractive when several factors apply simultaneously.
For example:
- the PC is old
- performance was poor even before the fault
- several components are deteriorating
- Windows support is becoming problematic
- manufacturer firmware support has ended
- battery life is poor
- the device has already needed several repairs
- the employee's workload has outgrown the hardware
At that point, another repair may simply postpone the inevitable.
Don't Judge a PC Only by Its Age
A four-year-old high-end workstation may still be extremely capable.
A four-year-old budget laptop may already be struggling with modern workloads.
Look at:
- processor
- RAM
- SSD
- battery condition
- physical condition
- warranty
- Windows compatibility
- employee workload
Age matters, but fitness for purpose matters more.
Check Windows Support Before Spending Money
This is increasingly important.
Do not spend heavily repairing a computer without checking whether it has a viable supported operating-system future.
As of August 2026, Microsoft's Windows 11 release information lists:
- Windows 11 24H2 Home/Pro support ending 13 October 2026
- Windows 11 25H2 Home/Pro support ending 12 October 2027
- Windows 11 26H1 Home/Pro support ending 14 March 2028
Enterprise and Education editions have different servicing periods.
That does not mean a PC running 24H2 must be replaced in October.
It may simply need moving to a newer supported Windows release.
But if the hardware cannot move forward to an appropriate supported release, that should become part of the repair-versus-replace calculation.
The 50% Rule
A useful starting point is:
If the repair approaches 50% of the cost of a suitable replacement, seriously consider replacing the device.
But this is a guide, not a law.
Imagine a specialist workstation originally costing £2,000.
A £400 repair that gives it another three years of productive service could be excellent value.
Now imagine a five-year-old £700 laptop.
A £350 repair is much harder to justify if it also has:
- poor battery life
- inadequate RAM
- worn hinges
- limited storage
- no warranty
Context matters.
Calculate the Real Repair Cost
Do not compare:
£200 repair
against:
£800 new laptop
and assume repair automatically wins.
The real calculation is closer to:
Repair cost + labour + downtime + probability of another failure
versus:
Replacement cost + setup/migration − productivity/reliability/warranty benefits
Suppose an employee loses an entire working day because of a failing computer.
That lost productivity has a cost too.
If the same machine generates support tickets every few weeks, the business is continuing to pay for it long after the repair invoice has been forgotten.
Downtime Changes the Calculation
Imagine two options.
Repair: £180 and three days without the laptop.
Replacement: £750 and the employee can be operational tomorrow.
For a high-value employee, three days of downtime could cost considerably more than the difference between the two options.
Businesses should therefore consider:
- repair turnaround
- loan equipment
- employee downtime
- IT labour
- data migration
- application configuration
Hardware cost is only one part of the decision.
Don't Reset a PC to Fix a Hardware Problem
This sounds obvious, but it happens.
Resetting Windows will not repair:
- failing SSD hardware
- bad RAM
- overheating
- damaged batteries
- broken fans
- faulty charging circuitry
- damaged screens
If hardware diagnostics indicate a physical fault, repeatedly reinstalling Windows wastes time.
Diagnose first.
Don't Replace a PC to Fix a Simple Windows Problem Either
The opposite mistake happens too.
A perfectly good business laptop may be replaced because Windows has become unreliable.
If the hardware is healthy, try the sensible escalation path first:
ordinary troubleshooting → repair Windows → repair reinstall → reset → replacement
Replacing hardware should solve a hardware or economic problem—not simply avoid diagnosing Windows.
What About Upgrades?
Sometimes neither repair nor replacement is necessary.
A targeted upgrade can extend useful life.
Depending on the computer, possibilities may include:
- more RAM
- larger SSD
- replacement battery
- docking improvements
But modern laptops increasingly use soldered memory and other non-upgradeable components.
Check what the particular model actually supports before buying parts.
Security Matters Too
A PC can still work perfectly and nevertheless be unsuitable for business use.
Ask:
- Is Windows supported?
- Is firmware still maintained?
- Is BitLocker available and functioning?
- Does it support the company's security software?
- Can it meet current compliance requirements?
- Can it run the required Microsoft 365 and business applications?
“Still turns on” is not a security strategy.
A Practical Repair, Reinstall, Reset or Replace Checklist
Use this decision process:
- Identify whether the problem is hardware or software.
- Check the PC's age, specification and physical condition.
- Check Windows and manufacturer support.
- Estimate the repair cost.
- Include downtime and IT labour.
- Consider the likelihood of another failure.
- For Windows corruption, try supported repair options first.
- Where available, consider Fix problems using Windows Update before Reset this PC.
- Reset only when the benefits justify the reconfiguration work.
- Replace when reliability, support or economics no longer make sense.
The Quick Decision
Repair when the PC is otherwise healthy and has one economically sensible fault.
Repair reinstall when the hardware is good but Windows itself appears damaged.
Reset when persistent software problems justify rebuilding Windows and reinstalling applications.
Replace when the hardware is ageing, unreliable, unsupported, underpowered or simply no longer economical to keep repairing.
That is a much better framework than replacing every troublesome PC—or endlessly repairing equipment that should have been retired years ago.
Standardise Replacement Cycles
Businesses should not wait for every PC to fail before thinking about replacement.
Maintain an asset register containing:
- purchase date
- warranty expiry
- model
- specification
- Windows version
- repair history
- assigned user
- expected replacement date
This allows you to budget for replacements instead of discovering on Monday morning that three critical laptops are simultaneously beyond economical repair.
It also helps prevent old devices quietly remaining in service long after they have become a security or productivity liability.
