Duplex, Margins and Scaling: Why Your Printed Page Doesn’t Match the Preview
You check Print Preview.
Everything looks perfect.
The margins are even.
The text fits.
The logo is aligned.
Then you print it.
Suddenly:
the bottom is cut off
the page is shifted sideways
the second side is upside down
the document has unexpected white borders
everything has shrunk
a table has moved onto another page
That does not necessarily mean Word, Excel, your PDF or the printer is broken.
Printing is a chain:
Document → application → printer driver → printer settings → physical printer
If one part of that chain interprets the page differently, the physical output may not match what you saw on screen.
The fastest way to solve the problem is to separate page size, margins, scaling and duplex settings rather than changing everything at once.
First: Check the Paper Size
Start with the obvious.
Is the document designed for:
A4
but the printer driver is set to:
Letter?
A4 and US Letter are similar enough that a document may still look almost correct in preview, but different enough to alter margins, pagination and scaling.
For UK businesses, A4 will normally be the expected paper size.
Check the setting in both places:
In the application
For example in Word:
Layout > Size > A4
In the print dialogue/printer properties
Check:
Paper size = A4
Microsoft’s own print interfaces expose paper size as a separate print setting because it affects how the output is laid out.
If one says A4 and the other says Letter, fix that before investigating anything more complicated.
Why Zero Margins Don’t Necessarily Mean Edge-to-Edge Printing
You set:
Top: 0
Bottom: 0
Left: 0
Right: 0
but the printer still produces a white border.
That may be completely normal.
Most printers have a minimum printable area.
The print mechanism physically cannot place ink or toner right up to every edge of the sheet.
Microsoft specifically explains that Word page borders can fail to print because they fall outside the printer’s minimum margin setting.
PowerPoint documentation makes the same point even more directly: most printers cannot produce borderless output, so white margins can remain even when the slide itself extends to the edge.
So:
Document margin = 0
does not necessarily mean:
Printer printable margin = 0
Borderless Printing Is a Printer Feature
Some inkjet and photo printers support:
Borderless A4
or:
Edge-to-edge printing
If yours does, you may need to select a specific borderless paper mode in:
Printer Properties
That capability depends on the printer.
A normal office laser printer may simply not support it.
No amount of changing Word margins will add a physical printing capability the printer does not have.
Check the Document Margins
In Word:
Layout > Margins
Typical options include:
Normal
Narrow
Moderate
Wide
Custom Margins
Microsoft allows custom top, bottom, left and right margins, but those values still need to fit within the printer’s capabilities.
If Word warns:
“Your margins are pretty small. Some of your content may be cut off when you print.”
take the warning seriously.
The content may genuinely fall outside the printable area reported by the driver.
Print Preview Depends on the Selected Printer
This catches people out.
The selected printer can affect:
printable area
paper sizes
duplex support
resolution
margins
available trays
That means the same Word document can paginate differently depending on which printer driver is active.
If you switch from:
Microsoft Print to PDF
to:
Office Laser Printer
and suddenly the page count changes, the printer driver may be reporting a different printable area.
So when comparing preview with printed output, make sure you are previewing against the actual printer you intend to use.
Scaling: The Hidden Cause of “Why Is Everything Smaller?”
Print scaling can alter the output without changing the original document.
Typical options include:
100% / Actual size
Fit
Shrink oversized pages
Fit sheet on one page
Fit all columns on one page
Microsoft explicitly documents print scaling as a way to reduce or enlarge output without altering the underlying document.
That is useful.
It can also be the reason your page looks wrong.
Start With 100%
If the document is already designed for the correct paper size, start with:
100%
or:
Actual size
depending on the application.
Only use:
Fit
or:
Shrink
when you deliberately want the application to alter the output size.
Excel Is Particularly Easy to Scale Accidentally
Excel provides options such as:
Fit Sheet on One Page
Fit All Columns on One Page
Fit All Rows on One Page
These can be extremely useful.
They can also produce microscopic text.
Microsoft’s current Excel guidance confirms that worksheet scaling can shrink or enlarge output to fit a specified number of printed pages.
If an Excel printout suddenly looks tiny, check scaling before blaming the printer.
Also check:
Page Layout > Print Area
because an incorrect print area can cause apparently inexplicable pagination.
PDF Printing Has Its Own Scaling Settings
PDF readers commonly offer choices such as:
Actual size
Fit
Shrink oversized pages
Custom scale
This creates another layer.
Imagine:
PDF created as A4
but:
printer set to Letter
and:
PDF reader set to Fit
The PDF reader may quietly scale the A4 page down to fit Letter.
The output prints.
But the margins are now different.
When accuracy matters, confirm:
PDF page size = printer paper size
and test with:
Actual size / 100%
first.
Duplex Printing: Flip Long Edge vs Flip Short Edge
A different class of problem appears when printing double-sided.
You print a document and discover that every second page is upside down.
The printer is not necessarily faulty.
You may simply have chosen the wrong duplex binding direction.
Portrait documents
Normally use:
Flip on long edge
Think of turning the pages like a book.
Landscape documents
Often require:
Flip on short edge
depending on how you want the document bound.
If the reverse side is upside down, switch the duplex edge option and print two test pages rather than reprinting the entire document.
Duplex Can Change Margins Too
Some printers apply different printable areas when duplex mode is enabled.
The printer may need additional space for:
paper handling
registration
duplex mechanism
So a document that fits perfectly single-sided may move slightly or clip when duplex is enabled.
A simple test is:
Print one page single-sided
then:
Print the same page duplex
If the margins change only in duplex mode, investigate:
duplex driver settings
printer firmware
driver
physical duplex limitations
Check Gutter and Mirrored Margins
If you are producing documents intended for binding, Word can use:
gutter margins
mirrored margins
These deliberately make left/right margins vary between odd and even pages.
That is useful for books and reports.
It can look like a printing fault if enabled accidentally.
If alternate pages appear shifted:
Layout > Margins
and check whether:
Mirrored
or a gutter value is enabled.
Wrong Tray Can Mean Wrong Paper Size
Many business printers have several trays.
For example:
Tray 1 = Letter
Tray 2 = A4
or:
Tray 1 = plain A4
Tray 2 = letterhead
If the driver selects the wrong tray, the printer may:
prompt for another paper size
scale the job
refuse to print
use an unexpected sheet
Check:
Paper source
and:
paper size
together.
Do not assume Auto Select always chooses the tray you expected.
Use the Manufacturer Driver When Layout Matters
Windows may install a generic or class driver that prints basic documents perfectly well.
But advanced functionality such as:
duplex
finishing
borderless printing
booklet printing
multiple trays
stapling
colour controls
may require the manufacturer’s full driver.
If a printer suddenly loses duplex or advanced layout controls, check which driver Windows is using.
For a business printer, obtain the supported driver from:
HP
Canon
Brother
Epson
Xerox
Ricoh
Kyocera
other actual manufacturer
rather than a random third-party driver site.
PCL vs PostScript Can Produce Different Output
Some business printers support multiple printer-description languages, commonly:
PCL
and:
PostScript
Different drivers can sometimes render:
fonts
graphics
PDFs
complex layouts
slightly differently.
If one particular application consistently prints incorrectly while others are fine, testing the manufacturer’s alternate supported driver can be worthwhile.
Do not randomly change every PC.
Test the problem document on one machine first.
Print a PDF to Separate Document Layout From the Printer
This is one of the best diagnostic tests.
From Word or Excel:
Save/Export as PDF
Open the PDF.
Does the PDF itself look correct?
PDF is wrong
The issue is likely:
document layout
application
page size
scaling
PDF looks correct but physical print is wrong
Now investigate:
printer driver
printer settings
paper size
duplex
printer hardware
That simple test can save a huge amount of time.
Test Another Application
Print something simple from:
Notepad
Word
PDF reader
browser
If every application prints shifted in exactly the same way, the printer or driver becomes more likely.
If only one Excel workbook is affected, the printer is probably not where I would start.
Check Printer Properties, Not Just the Application
Windows and the application can each expose print settings.
The application might say:
A4, Portrait, single-sided
while the printer driver retains:
Letter, Landscape, duplex
depending on the software and driver.
Before printing an important document, review:
Printer Properties / Printing Preferences
Check:
paper size
orientation
duplex
scaling
paper source
borderless mode
Do not assume the application's preview has overridden every driver setting.
If Everything Prints Shifted, Run the Printer's Own Test Page
Print a printer-generated:
configuration page
status page
test page
This bypasses Word, Excel and your PDF reader.
Internal test page is also misaligned
Investigate:
printer hardware
calibration
paper guides
tray setup
Internal test is perfect
The printer mechanism is capable of producing correctly aligned output.
Look back toward:
Windows
driver
application
page settings
Don't Start by Reinstalling the Printer
If a document is 5% too small because:
Fit to page
is enabled, reinstalling the printer will achieve nothing.
Likewise, a white border caused by a printer’s physical non-printable area is not a corrupted Windows driver.
Start with:
Paper size → scaling → margins → orientation → duplex
before more invasive troubleshooting.
The Fastest Troubleshooting Order
If the printed page does not match the preview:
1. Confirm the document is A4 or the intended paper size.
2. Confirm the printer driver uses the same paper size.
3. Set scaling to 100% / Actual size.
4. Check document margins.
5. Remember the printer has its own minimum printable area.
6. Check orientation.
7. If duplexing, test long edge vs short edge.
8. Check tray/paper source.
9. Export to PDF and inspect the result.
10. Test the PDF at Actual Size.
11. Check the manufacturer printer driver.
12. Print the printer’s internal test page if alignment is still wrong.
That will resolve or isolate most layout problems without randomly reinstalling software.
A Useful Example
Suppose Word Preview looks perfect.
The physical document prints smaller with larger margins.
You find:
Word document = A4
Printer = Letter
Scaling = Fit
Windows was shrinking the A4 document so it would fit onto Letter paper.
Change the printer to:
A4
and scaling to:
100%
The page now matches the intended layout.
Nothing was wrong with Word.
Nothing was wrong with the printer.
The page settings simply disagreed.
